1. Introduction
Promoting Queens Chess Foundation ("Promoting Queens", "we", "us") respects your privacy. This policy explains what information we collect, why we collect it, how we use it, and the choices you have.
It applies to promotingqueens.org, our programs, our newsletters, and any other services we operate.

We only collect what we need to run our programs and stay in touch. This may include:
- Contact details you give us — name, email, phone, and country — when you use our contact form, sign up to volunteer, register for a program, or donate.
- Program information — for a participant this may include age, guardian contact, school, and progress notes; for a volunteer or coach it may include references and screening results.
- Donation information — the amount and date of a donation. Payment card details are handled directly by our payment processors and are never stored on our servers.
- Content you submit — comments on our blog, messages, or media you share with consent.
- Technical data — IP address, browser, device, pages visited, and similar analytics data collected automatically when you use the site.
3. How We Use Your Information
We use the information we collect to:
- Run and improve our programs, communicate with participants and their guardians, and keep them safe.
- Respond to your questions, applications, and messages.
- Process donations and issue receipts.
- Send occasional updates about our work — you can unsubscribe at any time.
- Understand how our website is used so we can make it better.
- Meet our legal, tax, and safeguarding obligations.
4. How We Share Information
We do not sell your personal information. We only share it with:
- Trusted service providers who help us operate — for example, email, hosting, payment processing, analytics, and content management. They are only allowed to use the data to serve us.
- In-country partner organizations who help deliver a specific program — and only the information they need to do so.
- Regulators, auditors, or law enforcement — when the law requires it, or when it is needed to protect a child, a participant, or the public.
5. Cookies & Analytics
We use a small number of cookies and similar technologies to make the site work, remember your preferences, and understand how it is used. Most browsers let you control cookies through their settings.
We may use privacy-friendly analytics tools to see which pages are read and how visitors find us. We do not use these tools to build advertising profiles.
6. How Long We Keep Data
We keep personal information only for as long as we need it for the purpose it was collected — for example, for the duration of a program, for the length of time required by tax or safeguarding rules, or until you ask us to delete it.
7. Children's Privacy
Many of the girls in our programs are minors. We collect the minimum information needed to run a safe program, and only with the written consent of a parent or guardian.
Photographs, videos, and stories featuring a child are only published with written consent from a parent or guardian, and that consent can be withdrawn at any time by emailing contact@promotingqueens.org.
8. Your Rights
Depending on where you live, you may have the right to:
- Ask what personal information we hold about you.
- Ask us to correct information that is wrong.
- Ask us to delete your information, where we are not required to keep it.
- Withdraw consent you previously gave us — for example, to receive updates.
- Ask us not to use your information for a specific purpose.

9. How We Protect Information
We use reasonable technical and organizational measures to protect the information we hold — including access controls, encryption in transit, and regular reviews of our safeguarding practices. No system is perfectly secure, so we cannot guarantee absolute security, but we take our duty of care seriously.
10. International Transfers
We work across Kenya, Nigeria, the United States, and other countries. That means your information may be processed in a country other than where you live. When we transfer data internationally, we take reasonable steps to protect it in line with this policy.

We may update this policy from time to time. When we do, we will update the "Last updated" date below. If the change is significant, we will make a more visible announcement.
