1. Our Commitment

Promoting Queens works with girls, many of whom are minors, in classrooms, community centers, and online spaces. We take that responsibility seriously.

This policy applies to every coach, volunteer, staff member, board member, partner organization, and visitor who participates in a Promoting Queens program. It is reviewed at least once a year and updated as our programs grow.

2. Who This Policy Protects

Every child, adolescent, and adult who participates in a Promoting Queens program, regardless of location, background, ability, gender identity, or religion.

The policy also protects our volunteers and staff by setting a clear standard everyone can rely on.

3. Code of Conduct

Everyone who represents Promoting Queens is expected to uphold the following standards at every session, event, and online interaction:

• Treat every child with dignity, respect, and patience.
• Never be alone one-on-one with a child in a private space. Sessions happen in visible, group settings.
• Communicate with participants only through channels approved by their parent, guardian, or school.
• Refrain from physical contact beyond age-appropriate, public gestures (a high five, a handshake).
• Never share a child’s personal information, image, or story publicly without written consent from a parent or guardian.
• Report any concern, however small, through the channels below.

4. Volunteer & Staff Screening

Every coach and volunteer working directly with children goes through an application, reference checks, and an orientation on this safeguarding policy before they meet a single participant.

Where local regulation supports it, we also request a background check. In-country partner organizations are asked to meet the same standard, and we retain the right to end a partnership that does not.

5. Reporting a Concern

If you have witnessed, experienced, or suspect that a child in one of our programs is at risk, tell us. You can:

• Email our Safeguarding Lead at contact@promotingqueens.org.
• Speak with the program coordinator on site.
• Report anonymously through the contact form on this website.

Every report is taken seriously, handled confidentially, and, where required, escalated to local authorities. You will not face retaliation for raising a concern in good faith.

6. Data & Privacy

We collect the minimum information needed to run a safe program: a participant’s name, age, guardian contact, and (when relevant) school. That information is stored securely and never sold or shared with third parties for marketing.

Photographs and stories are only published with the written consent of a parent or guardian, and consent can be withdrawn at any time by contacting us at the email above.

7. Policy Review

This policy is reviewed at minimum once a year by the Promoting Queens leadership team, and immediately after any incident that surfaces a gap. Substantive updates are dated below.
